How do I set up Tempo Booking for the first time?

After confirming your account, complete a three-step onboarding: practice details and regional preferences, booking rules and opening hours, and a review before activation. After activation, add services and team members, configure each care provider's availability and review communication before publishing online booking.

How do I publish my practice's booking page or website widget?

Complete your services, care providers and available hours first. Then open Online booking, review the preview and activate the page. You can share the standalone booking link or, after adding allowed website domains, place the generated widget code on your website. Both routes use the same current services and availability.

Which role do I need to change practice settings?

Only an administrator can change practice details, team access, scheduling rules and communication settings. Care providers and front-office staff work within the permissions assigned to their role.

Calendar and availability

Opening hours, work blocks, absences and bookable times.

How do I configure opening hours and availability?

The practice opening hours are the outer boundary. Within those hours, configure work blocks, services and breaks for each care provider. Tempo Booking only shows times that satisfy all of these rules.

Why can a patient not see a particular time?

A time is unavailable when the practice is closed, the care provider is absent or already booked, or the selected service is not offered in that work block. Check opening hours, schedules, absences and the service assignment.

How do I schedule leave, illness or a different working day?

Use an absence to block existing availability temporarily. For a different working day, add a replacement day schedule. This preserves the normal weekly schedule while showing patients only the correct times.

Can the whole team use the same current calendar?

Yes. Requested and confirmed appointments are tracked centrally. Within their access rights, team members see the same current planning, so changes do not need to be shared through separate calendars or lists.

What happens after a patient books online?

The appointment is confirmed immediately or recorded as a request, depending on your practice policy. An authorised team member can confirm, decline or cancel a requested appointment from the appointment overview.

How do I change or cancel an appointment?

Open the appointment from Calendar or Appointments and select an allowed next step. Tempo Booking checks the care provider's availability and selected service again when you change the time.

Where do I manage patient details and language preferences?

Use Patients to manage contact details, preferred language and appointment history. An explicit language choice is preserved; without one, Tempo Booking uses the practice default. Email and SMS are determined by active transactional communication rules, not by a per-patient channel preference.

How do I follow up a no-show carefully?

Mark a started, confirmed appointment as a no-show. Tempo Booking automatically creates one open follow-up. Open the linked patient or appointment from Follow-up and close the item with a required resolution note. Open and closed follow-up can be viewed separately.

Which messages can Tempo Booking send automatically?

Tempo Booking supports transactional request receipts, appointment confirmations, changes, cancellations and reminders. An administrator determines which rules are active and manages the related templates. Email is sent through Tempo; SMS requires the practice's own connected BulkGate account.

Which languages are available for patient communication?

Tempo Booking supports Dutch, French, English and Turkish. A language variant is only used when its template is complete; otherwise the message falls back to the complete practice-default language.

Why did a patient not receive an email or text message?

First check the email address or phone number and whether the relevant communication rule is active. For SMS, the practice's own BulkGate account must also be connected correctly and have sufficient credits. Then review the delivery status and any error in Messages before offering the message for delivery again.

What can I do when I cannot log in?

Check that you are using the correct account and practice. Ask a practice administrator to verify that your team access is active. Contact us if you can no longer use your sign-in details.

How does Tempo Booking keep practice data restricted?

Access is tied to the signed-in user, practice and role. Team members only see areas for which they are authorised. Never share accounts and sign out on devices that other people also use.

Which plan fits my practice?

Every plan has the same core features. Choose mainly based on the number of care providers. Online booking and transactional email quantities are fair-use guidelines: exceeding one currently only produces a warning and does not trigger an automatic charge, block or plan change.
