One calendar as the team’s shared starting point

A practice calendar is more than a grid of hours. Tempo Booking keeps requests, confirmed appointments and changes together with their patient, service, care provider, time and status. The whole team works from the same current context, whether reviewing a new booking or handling a question or change during the practice day.

The complete appointment context in one place

Every appointment keeps together the information staff need to understand the situation. The patient, selected service, care provider, date, time and appointment status remain linked. A staff member does not have to compare separate patient lists and calendars before reviewing a request or answering a question about an appointment.

The calendar distinguishes requests from confirmed appointments, so the team can recognise where action is still required. Staff can switch quickly between dates and providers and focus the view on a relevant period or person. This keeps the schedule readable even when several colleagues use the same practice calendar.

A new request enters this shared schedule directly. From its appointment context, the team can review, confirm, move or cancel it. The appointment remains the central source for both the calendar and its related communication. A change does not have to be copied independently into several separate overviews.

Changing and completing appointments within current rules

When a staff member moves an appointment, Tempo Booking checks the current availability again. The care provider must be available, the service must be permitted for that person and the entire appointment must fit inside the selected work block. An overlap or another invalid combination is not silently saved in the schedule.

Confirming and cancelling also happen from the same appointment context. After a change, the patient, service, provider, status and time remain connected. The calendar shows the current situation, and communication can continue to follow the correct appointment. The team retains one recognisable starting point instead of a collection of disconnected changes.

Once a started appointment has been handled, it can be marked as completed. If the patient does not attend, the team can register the appointment as a no-show. Tempo Booking then opens one follow-up automatically for that missed appointment. The calendar supports the full route from request and planning to completion or further follow-up.

Practice example: a request needs to move to a later time

A patient has requested an appointment, but the practice needs to schedule the consultation later that day. A staff member opens the request in the calendar and immediately sees the patient, service, care provider and chosen time. This context remains available while the team looks for an appropriate alternative.

The staff member focuses the calendar on the relevant date and provider and selects a later time. Availability and service eligibility are checked again for the new slot. An occupied time, a time outside the work block or a combination that cannot hold the full treatment is therefore not accepted unnoticed as a valid change.

After the move, the appointment remains connected to the same patient and provider while its time and status are updated in the current schedule. Related communication can continue from that same appointment. The staff member does not have to create a second, disconnected record, and the team can immediately see what happened to the original request.
