Availability comes from rules working together

An empty space in a calendar is not automatically a time that can be booked online. The practice must be open, the care provider must be working and the selected service must fit entirely inside a suitable work block. Tempo Booking combines those conditions with closures, absences and existing appointments to calculate the practice’s current available capacity.

From practice hours to a workable appointment time

Practice hours form the fixed outer boundary of the schedule. Within those hours, the practice records recurring work blocks for each care provider. Every work block can be linked to the services that the provider delivers at that time. An open hour is therefore not automatically available for every provider or every treatment.

When a patient or staff member searches for a time, Tempo Booking checks the complete combination. The practice must be open, the provider must have a suitable work block and the selected service must be permitted for that provider. Duration matters too: the entire treatment must fit inside the work block, rather than only its starting time.

Requests and confirmed appointments reserve capacity in the same schedule, so an occupied time is not offered again. The calendar and online booking page use the same rules. A time cannot appear available to a patient while being impossible to deliver internally. Invalid combinations are removed before someone books or saves them.

Exceptions without losing the base schedule

A recurring schedule describes a provider’s normal working pattern, but not every practice week follows that pattern. Holidays, training and other absences can be recorded as exceptions. A temporary schedule can also be applied without deleting the recurring work blocks or requiring the team to rebuild them when the temporary period ends.

Closures and exceptional openings operate at practice level. They determine whether the organisation is accessible at a particular time, even when a care provider would normally have a work block. Absences and temporary schedules then refine availability for each provider. Evaluating these layers together makes it clear which rule excludes a particular time.

After a temporary exception, the normal pattern becomes active again. The team does not need to reconstruct free capacity from separate calendars or lists. The same current result is used for online booking and for changes in the calendar. This prevents impossible bookings and keeps available capacity understandable for practice staff.

Practice example: a care provider is absent for one afternoon

A care provider normally works every Tuesday but cannot attend on one Tuesday afternoon. The practice records the absence as an exception for that period. The recurring work block remains in place; only the specific times covered by the absence are temporarily removed from the provider’s current availability.

Those times no longer appear in the booking journey. Tempo Booking also applies the absence when a staff member schedules or moves an appointment in the calendar. Other care providers and work blocks remain available whenever their own practice hours, service assignments and capacity allow it. The exception changes no more of the schedule than necessary.

After the afternoon has passed, the fixed working pattern automatically becomes active again. The team does not have to restore the original schedule and still has a clear explanation for the temporary unavailability. Practice hours, work blocks and exceptions can therefore show actual capacity together without rewriting the base schedule for a single deviation.
