Team configuration that follows the real schedule

Adding a colleague involves more than granting access. Roles, services, working hours and exceptions together determine what someone can do in Tempo Booking and when a care provider is genuinely available for a treatment. That alignment keeps daily responsibilities and the published schedule consistent.

Every colleague works in the right role

New colleagues receive access to the shared practice environment through an invitation. The practice then assigns the role or roles that match their responsibilities. Tempo Booking distinguishes administrators, front-office employees and care providers. These roles determine which operational areas and management options someone can use. The practice can divide daily appointment work without giving every employee the same access to the complete organisation setup.

Only administrators configure the organisation. Team management, practice settings and scheduling rules therefore remain separate from the appointment actions employees perform each day. The role forms the first layer of configuration; a care provider also needs assigned services and available hours. Keeping those details together for each person makes it clear which context a colleague works in and which responsibilities they have been configured to perform.

Services and availability for each provider

For every care provider, you choose the services they perform and record their recurring work blocks. That combination determines which treatments can be scheduled or offered online during their normal working hours. A provider is not automatically available for every active service or every hour the practice is open. Scheduling uses the individual connections to present combinations that match the configured work and availability.

A recurring schedule can still accommodate exceptions. Temporary schedules and absences cover different periods without deleting the normal pattern. If someone leaves the practice, the team member can be deactivated. That person can no longer sign in or be assigned to new appointments. Historical appointments and communication remain connected to the correct employee, preserving the context that was recorded while they worked at the practice.

Practice example: a provider starts on two fixed days

A new care provider starts working on two fixed weekdays. An administrator invites the colleague to the practice environment and assigns the appropriate role. The administrator then selects only the services this provider actually performs and records recurring work blocks for both days. From that point, the schedule can connect the provider to the right treatments within the hours when they are available.

If the provider is absent during one of those weeks or follows a temporary schedule, the practice records that exception without permanently removing the recurring work blocks. The normal configuration is ready again after the exceptional period. If the collaboration later ends, the team member can be deactivated. New scheduling and access stop, while existing appointments and earlier communication remain linked to the care provider who handled them.
